Lighthouse HSE, Cube Data Management System, and Quartz QMS (“LCQ”)

Sample Transition Plan

The first step is to start investigating alternative software platforms. If you need a place to start, search Capterra or G2, which are websites that aggregate software platform information by business function and provide functionality overviews and user reviews.

Once you have identified options, contact the company, and schedule a demo. Along with investigating your specific functionality requirements, ask how data can be imported/migrated into the system. Typical ways are by Excel import, via an API, or directly into the backend (database). LCQ uses an SQL database. RPM will provide an SQL data file if desired for migration or storage purposes free of charge. Also, ask if the software provider can assist with migration efforts. The best way to migrate your data is from the SQL file via API or directly to the database, especially if your subscription includes files attached to forms.

Once you have decided on the best platform, start the onboarding process. There will need to be a transition period where LCQ and the new software platform overlap. You’ll need to ensure the new software platform is set up according to your requirements before offboarding from LCQ. Users should then be trained on the new platform and then a point in time established when new data is exclusively entered into the new system. After this, request the SQL file from LCQ and start the data migration effort.

The data migration effort will likely include mapping data points from the SQL data file into the new platform. You will need to go through each process one by one and match each field/column in the SQL file to its corresponding data point in the new platform.

When the data migration effort is completed notify LCQ and provide us with termination notification with immediate effect. Keep your SQL file as a backup file if ever needed in the future.
