A Reference field allows you to pull data from other places in RPM. You can pull data from Suppliers, Customers, Agencies, Reps, Staff, and other Process forms through the use of a Reference field.
To add a reference field, choose Reference from the field menu located on the right side of the Fields page.
Process Form Reference
A Process form reference field allows you to pull data from another process and create a link between two process forms.
For example, you can create a reference field for the Commission Inquiry process to link them together and allow you to pull information from the linked reference form to your current Process.
The Forms option will allow you to filter the listed options By View or By parent field.
By View will use a built-in or a Custom View to limit the available options.
By parent field will allow you to limit the options based on a selected parent value. In the example below, you can select Customer Name as the parent to limit the options to Commission Inquires that share the same Customer as the form you created. Commitment reference will allow you to allocate a form or an asset form for a set duration. For more information, please see our knowledge base article on Commitments.
Checking the Start link in processes box, box corresponding to On details page means that the process you are referencing will be shown, with a Start link, on the forms that process is referenced in.
The Group allows you to choose what field group the reference field will be controlled by. If you only want the reference field to show up with a certain field group, choose it from the drop-down list. (For more information on Field Groups, see: Field Groups)
Lastly, you can choose the reference field’s Staff, Agency, and Customer users permission from the corresponding drop-down menus.
Customer Reference
You can add a Customer reference field when you want to reference your list of existing Customers. You will have the ability to add new customers or edit your existing customers through a reference field.
Select a Group if you want the field to be controlled by a Field Group. For more information, please our knowledge base article on Field Groups.
Check the Start link in processes box if you want the ability to start a Process form from the referenced field's main page. In this case, it will add a Start button next to the "Process" Referenced in section on the Customer page.
Lastly, you can choose the reference field’s Staff, Agency, and Customer users permission from the corresponding drop-down menus.
Agency and Rep Reference
The Agency reference field will allow you to select from your existing Agency list. The Rep field will require the Agency field created first before you can add this field to your Process.
Select a Group if you want the field to be controlled by a Field Group. For more information, please our knowledge base article on Field Groups.
Check the Start link in processes box if you want the ability to start a Process form from the Referenced field's main page. In this case, it will add a Start button next to the "Process" Referenced in section on the Agency page.
Lastly, you can choose the reference field’s Staff, Agency, and Customer users permission from the corresponding drop-down menus.
Once your Agency field is created, the Rep option will be available to be created.
Staff Reference
Add a Staff reference field when you want to reference the list of staff you have entered into RPM.
Select a Group if you want the field to be controlled by a Field Group. For more information, please our knowledge base article on Field Groups.
Check the Start link in processes box if you want the ability to start a Process form from the Referenced field's main page. In this case, it will add a Start button next to the "Process" Referenced in section on the Agency page.
With a Staff reference field, you have the ability to choose to limit the options listed based on the user's Role or Staff Group.
The Sign-in option will limit the listed options to Staff users who are enabled to sign into your RPM.
Lastly, you can choose the reference field’s Staff, Agency, and Customer users permission from the corresponding drop-down menus.
Supplier / Fixed / Multi Select Reference
A Supplier reference field has a few different options to choose from.
- Supplier: this reference field will show the list of Suppliers that are added to your RPM.
- Supplier (fixed): this 'fixed' Supplier reference field will select the same Supplier on each of your forms.
- Supplier (multi-select): this reference field is a multi-select field that allows you the check off multiple Suppliers.
